Manage Your Professionals Team and Professional Portal Access

The short version

Open Settings > Professionals Team to add a professional. Portal access starts only after you approve record categories and the professional accepts; you can change or revoke access at any time.

Professionals Team keeps your attorney, therapist, mediator, parenting coordinator, coach, or another professional available inside BestInterest. A team contact can receive individual records through Send to Team. Professional Portal access is a separate, read-only connection that you control by record category.

Add a professional and send a portal invitation

  1. Open Settings > Professionals Team.
  2. Tap Add Professional.
  3. Enter the professional’s email address. BestInterest checks whether that address already has a Professional Portal profile.
  4. Confirm the professional type and full name.
  5. Under Share account data?, select at least one record category.
  6. Tap Add and invite.

The professional receives an invitation to the email address you entered. If delivery fails, BestInterest displays invitation details that you can copy and share directly.

Adding a contact does not by itself expose records. Portal records become available only after you choose categories and the professional accepts the connection.

Choose what the professional can see

The available categories are:

  • Messages
  • Calendar
  • Expenses
  • Tasks
  • Documents
  • Journal
  • Calls, recordings, and transcripts

Each selected category includes your account’s private and shared records, including notes and attachments. Calendar includes your Solo calendar. A connection to your account does not provide access to your coparent’s private records or Coach conversations.

Messages, Calendar, Expenses, Tasks, and Documents are selected by default for a new invitation. Journal and Calls require a separate choice.

Existing connections keep their previously approved access. Opening the permission screen does not change it. If you update permissions, every selected category uses the complete category access above; clear a category if you no longer want to share it.

Your coparent is not notified when you choose or change Professional Portal categories.

Invite a professional you already added

Open Settings > Professionals Team and find the contact. Tap Invite to professional portal, select the categories, and tap Approve and invite.

After an invitation is accepted, the button shows Account Access after acceptance. Open it to change the categories and tap Update.

Accept an invitation from a professional

A professional can invite you from the Professional Portal.

  1. Open the invitation link, or open Settings > Professionals Team and tap Enter a professional invitation code.
  2. Review the professional’s profile and introduction.
  3. Select the record categories you want to share.
  4. Tap Approve access and connect.

Invitations are tied to the invited email address. If BestInterest asks you to verify it, tap Verify email in my profile, complete verification on your existing account, and return to the invitation. Do not create a second account to accept the invitation.

If the invitation has expired or is no longer pending, ask the professional to send a new one.

Change, revoke, or restore access

Open the professional under Settings > Professionals Team, then open their portal access.

  • Select or clear categories and tap Update.
  • Tap Remove Access to stop portal access.
  • If an accepted grant is paused, review the categories and tap Update.
  • Tap View private access history to review access events. Use View older access history when more events are available.

When access changes, the Professional Portal clears the affected client workspace. The professional must select Refresh clients to load the current permissions.

Send one message without portal access

For an individual message, open its action menu and choose Send to Team, then select the professional. This sends that message through the existing team-sharing flow and does not grant ongoing portal access. Other record types do not offer this action.

Professionals can learn about their side of the connection in Professional Portal invitations and client access.

Frequently asked questions

Does adding someone to Professionals Team share my records?

Adding a contact alone does not grant portal access. You choose record categories and send or approve a Professional Portal invitation before records become available.

Can my coparent see which professional I connected?

Professional Portal sharing belongs to your account. Choosing categories does not notify your coparent.

Can a professional see my journal or Coach conversations?

Journal entries and journal images are available only when you select Journal. Coach conversations are not a sharing category.

How do I stop access immediately?

Open the professional under Settings > Professionals Team, open Account Access, and tap Remove Access.
