How do Professional Portal reports and downloads work?
Open a client and choose Reports to generate a verified message, expense, task, or call report. Calendar agendas print separately, and approved documents and attachments download from their record.
The Professional Portal creates verified reports from the record categories a client has approved. Reports remain tied to that client’s current permissions.
Generate a verified report
- Open the client from the Clients page.
- Choose Reports.
- Select Messages, Expenses, Tasks, or Calls.
- For Calls, choose Solo phone calls or In-app calls.
- Enter the start and end dates.
- If the client approved private records for that category, choose whether to include them.
- Choose Generate verified report.
A report can cover up to one year. If the selected period contains too many records, shorten the date range and try again.
Check report status
Pending reports refresh automatically every 15 seconds for up to five minutes. If automatic refresh pauses, choose Refresh reports.
Completed reports show a download action. Failed reports show an error so you can correct the dates or try the request again.
Understand the monthly allowance
You can complete up to 10 reports for each represented client account per calendar month. The month follows the client’s timezone. The Reports page shows how many reports remain and whether any are still being prepared.
Failed reports release their reserved place in the allowance. Professional report use is separate from the client’s subscription report allowance.
Print calendars and download files
Calendar information uses Print agenda instead of a generated report. Open Calendar, choose the month, and select Print agenda.
Documents and approved attachments download from their record. Depending on the shared categories, this can include document files, message attachments, call recordings, and call transcripts.
When a download is unavailable
The portal checks current access before every report or file download. A download can become unavailable if the client revokes access, changes the approved categories, or the report expires.
Reports expire 90 days after they are created. An expired report remains visible in report history without a download action.
Files and reports already downloaded to another device remain outside BestInterest and cannot be recalled.
